What Does This Time Card Calculator Do?

This weekly time card calculator lets you enter clock-in and clock-out times for each day of the week, along with any unpaid break time, and instantly totals your hours worked in both decimal format (e.g. 7.5 hours) and hh:mm format (e.g. 7:30). If you enter an hourly rate, it also calculates your total pay for the week.

How Time Card Hours Are Calculated

Daily Hours = (Clock Out - Clock In) - Unpaid Break (minutes / 60)
Weekly Total = Sum of All Daily Hours
Weekly Pay = Weekly Total x Hourly Rate

Worked Example

Say you clock in at 9:00 AM and out at 5:30 PM with a 30-minute unpaid lunch break:

  • Raw time: 8.5 hours
  • Minus 30-minute break: 8.5 - 0.5 = 8 hours
  • At $20/hr: 8 x $20 = $160 for the day

Why Track Time Cards in Decimal Hours?

Payroll systems typically calculate pay using decimal hours rather than hh:mm format, since decimal hours multiply cleanly by an hourly rate. This calculator shows both formats so you can cross-check your own records against a payroll system or timesheet software.

Frequently Asked Questions

How do I calculate hours from a time card?
For each day, subtract the clock-in time from the clock-out time, then subtract any unpaid break time. Add up the daily totals across the week to get total hours worked.
How do I convert time card hours to decimal?
Divide the minutes portion by 60 and add it to the hours. For example, 7 hours 30 minutes becomes 7 + (30/60) = 7.5 decimal hours. This calculator does this conversion automatically for each day and the weekly total.
How are unpaid breaks handled?
Enter unpaid break minutes for each day (e.g. a 30-minute lunch break) and the calculator subtracts that time from the hours worked before totaling, since unpaid breaks aren't counted as work time.
Can this calculator handle overnight shifts?
Yes. If your clock-out time is earlier than your clock-in time (e.g. clock in at 22:00, clock out at 06:00), the calculator automatically treats the shift as crossing midnight into the next day.
How do I calculate weekly pay from a time card?
Enter your hourly rate in the optional rate field, and the calculator multiplies your total weekly hours by that rate to show total pay. Leave the rate field blank if you only want total hours.
What if I only work some days of the week?
Simply leave the clock-in and clock-out fields blank for days you didn't work — the calculator will skip those days and only total the days with entries.
Does this calculator account for overtime pay?
No, this tool totals regular hours and pay at a flat rate. For overtime calculations at 1.5x pay, use the dedicated time and a half calculator.
How this is calculated: This tool uses standard, well-established formulas for payroll & work hours calculations. Results are estimates for informational and planning purposes — always double-check figures for anything with real-world consequences (e.g. ordering materials or submitting grades).
